Ask the Mayor or a councillor to attend your event

You can invite the Mayor or a councillor to attend your organisation's event, give a short speech, hand out greetings, or just show support. We appreciate you reaching out to us about your upcoming gathering. Whether you are planning a community festival, a neighbourhood meeting, or a cultural celebration, we would love to hear from you.

How to submit your request

Please send your invitation by email to [email protected] or use the contact form below. To help us fit your event into our schedule, please include as much detail as possible. We recommend sending your request at least four weeks before the event. This gives our team enough time to check availability and coordinate with your organisation.

Include the following information in your request:

  • Event name and a brief description
  • Location and full address
  • Date and start time
  • Expected number of guests
  • Duration of speech or attendance
  • Event contact name, phone number, and email address
  • Available audio equipment (for example, a wireless microphone or podium)
  • Dress code expectations
  • Any specific content you would like the Mayor or councillor to cover
  • Background information about your organisation

What to expect

Our team carefully reviews every request. Because the Mayor and councillors have busy schedules, we cannot guarantee attendance. Councillors may also be unavailable on Mondays due to regular Council and committee meetings, which typically run from 6:00 p.m. onward. We try to accommodate community events on evenings and weekends when possible.

You will receive a response from the Mayor's office within ten business days. If your event is confirmed, we will send a final confirmation about two weeks before the date. Please note that attendance is subject to change due to unforeseen Council duties.

Parking and transit support

If your event is in the downtown core, we can arrange validated parking for the Mayor or councillor. For events near the waterfront or in the neighbourhoods, we can provide transit ticket support so your guest can arrive by bus without cost. Just let us know your preferred travel method when we confirm.

Accessibility and accommodations

We want all events to be welcoming and accessible. If the Mayor or councillor requires specific accommodations, such as a hearing loop, large print materials, or an interpreter, please mention this in your invitation. We will do our best to arrange these services with two weeks' advance notice.
