Who can request a meeting
Community groups, non-profit organizations, and local residents can ask to meet with the mayor or a city councillor. These meetings work best when you have a clear purpose, such as sharing an upcoming event, updating the council on a community project, or discussing a new neighbourhood initiative.
How to request a meeting
Send your request to the mayor's office at [email protected] or call 519-555-0100. You can also use the online meeting request form. Please include:
- The name of your group or organization
- The name of the councillor or mayor you wish to meet
- A brief description of your agenda or purpose
- Your preferred dates and times
- How many people will attend
Requests must be submitted at least ten business days before the date you want to meet. The City Clerk's office will check the mayor and councillors' schedules and send you a confirmation email within five business days.
What to expect
Most meetings are held at City Hall, 100 Mercer Street, or in a nearby community centre. A typical meeting lasts 15 to 30 minutes. A council member will listen to your update, answer questions, and share how the city works. If your topic requires a policy decision, the councillor will explain how to bring it forward through the proper channels.
Meeting rules
These meetings are for information sharing and community building. Council members do not make decisions, approve funding, or pass by-laws during these sessions. The mayor and councillors cannot promise specific outcomes, but they will share their perspective and point you to the right department or program.
Fees and accessibility
There is no fee to request a meeting. If you need a wheelchair-accessible room, assistive listening devices, or documents in an alternate format, please mention this when you submit your request so we can make the right arrangements.
