How to report accessibility needs

We want everyone to be able to attend Council and committee meetings. If you need help to participate, listen, or follow along, tell us when you register to attend or speak. You can also request services for a committee meeting you are watching from the public gallery.

Please give us at least two weeks' notice so we can book the right staff and equipment. Email [email protected] or call 311. Tell us:

  • Your name
  • The meeting date and time
  • What service you need (for example, ASL, captioning, or large print)
  • How many people in your group will need the service

We will confirm your request in writing within three business days. If you need to change your request later, just let us know as soon as possible.

Communication services

American Sign Language (ASL) and captioning

We provide ASL interpreters and live captioning for all meetings held in the Council Chambers. Live captioning also helps people who are hard of hearing, people with certain learning disabilities, or individuals whose first language is not English.

Printed materials

We can print agendas, reports, and background documents in large print or Braille. Ask us when you register so we can have the pages ready for you.

Assistive listening devices

We have hearing loop devices you can borrow at the City Hall front desk. They work well with hearing aids that have a T-coil setting. We also have handheld amplifiers if you prefer.

Meeting room accessibility

Council and committee meetings are held in the Council Chambers at City Hall, 100 Mercer Street. The room is fully wheelchair accessible. You can enter through the Water Street entrance, which has a ramp and automatic doors. The chamber seats up to 60 people and has wide aisles for easy movement.

Audio visual equipment is available for speakers, including a document viewer for hard copies, a laptop connection, and Wi-Fi for the room. If you need help connecting your own laptop, a staff member will assist you.

Transit and parking

We want to make it easy for you to get there. If you are speaking at a public hearing or policy committee meeting, you can request two free transit tickets for the day of your presentation. You can also get a validated parking pass for the City Hall parkade.

Ask for these supports when you fill out the Public Submission form or email [email protected]. Our team will send you the digital passes or ticket vouchers before your meeting.
