How to apply for a City facility
Use this application to book a City of Wrenford facility for a one-time event, a regular league, or a program. The City operates arenas, gymnasiums, fieldhouses, pools, parks, and meeting rooms. Availability depends on the date, time, and type of space you need.
Who can apply
Anyone can submit an application. You must be at least eighteen years old, or a representative with signing authority for a registered group. When you apply, you will select your applicant type: youth group, adult group, non-profit organization, local business, or commercial operator. Rates and booking priorities differ by category.
What to include in your application
Complete every section of the form so Recreation staff can review it quickly. Incomplete applications will be delayed.
- Applicant details: Organization name, contact person, mailing address, phone number, and email address.
- Facility type: Select the space you need, such as an arena ice pad, gymnasium, fieldhouse, outdoor pool, park shelter, or meeting room. You may choose up to three preferred locations.
- Event information: Describe the purpose of your event, expected number of participants and spectators, and whether it is a regular ongoing booking or a single-use event.
- Preferred schedule: List your first, second, and third choices for days and times. We will match your request to the earliest available slot.
- Tournaments and special events: If your booking involves a tournament, exhibition, or special event, provide your preferred dates and a brief outline of the activities.
Supporting documents
Groups that book regularly or hold non-profit status must upload the required documents before the application is processed. You can upload up to five files in PDF, Word, or Excel format. Each file must be under five megabytes.
- General liability insurance: Name the City of Wrenford as an additionally insured. A minimum coverage of $2 million is required.
- Participant liability: Coverage must apply to all participants and include protection for participant-to-participant injury.
- Cross liability clause: This clause allows separate insured parties under the same policy to sue one another.
- Non-profit proof: Non-profit organizations must submit a current annual return and a copy of the most recent annual general meeting minutes.
Accessibility and accommodations
If you or your participants require additional support, please indicate your needs in the application. The City offers an Individualized Inclusion Support Plan and a Leisure Companion service to help patrons participate fully. Please provide at least three weeks notice so we can arrange the necessary support.
What happens after you submit
A Facility Pass and Booking Specialist will review your application within five business days. If your first choice is unavailable, staff will contact you to discuss alternate dates or locations. Once approved, you will receive a confirmation email with your invoice and booking contract. Payment must be received before the space is officially secured.
