Who can use the Council Chambers
The Council Chambers at Wrenford City Hall are available for public meetings, community group gatherings, and private events when the space is not needed for Council or committee meetings. Regular Council meetings are held on the second and fourth Monday of each month at 6:00 p.m.
How to make a booking
To reserve the Chambers, please submit a Room Rental Request form or email the City Clerk's Office at [email protected]. You must submit your request at least 10 business days before your planned event. Requests are approved on a first-come, first-served basis.
Capacity and equipment
The Chambers seat up to 60 people in a standard row setup. The City provides basic audio-visual equipment, including a projector, screen, and microphone system. If you need additional equipment or a different seating arrangement, please note this in your booking request.
Security screening and prohibited items
For the safety of everyone in the building, all visitors must pass through a metal detector before entering the Chambers. Bags, backpacks, and purses will be inspected. Please arrive 15 minutes early to avoid delays.
The following items are not allowed inside the Chambers:
- Food and beverages
- Weapons, mace, or pepper spray
- Illegal drugs or substances
- Firearms, ammunition, fireworks, or explosives
- Noisemakers
There is no storage available for items that cannot be brought inside. If you are carrying a prohibited item, you will not be granted entry until the item is removed or discarded.
Accessibility and special needs
The Chambers are fully accessible. Visitors who use wheelchairs, strollers, or mobility aids will be screened using a hand-held wand. If you have a pacemaker, medical implant, prosthetic, or cast, please inform security staff before screening. Visitors with medical conditions that require needles or medical instruments may bring them for their safety.
Service animals are welcome and must pass through the metal detector with their handler. If you require an accommodation such as large-print materials or an interpreter, please contact the Accessibility Coordinator at least two weeks before your event.
Fees and cancellation
Community and non-profit groups can use the Chambers free of charge. A $50.00 administrative fee applies to private rentals. Payment is due at least five business days before the event.
If you need to cancel or change your booking, please provide at least 48 hours notice. Late cancellations may result in the fee being applied to future bookings.
