We buy goods, professional services, construction projects, and information technology. Our goal is to get the best value for taxpayers while keeping the process fair and transparent. You can view all open opportunities and submit bids through the Wrenford Supplier Portal.
Register as a supplier
To bid on City projects, you must create an account in the Wrenford Supplier Portal. Registration takes a few minutes. Once you are registered, you can:
- View current and upcoming bid opportunities
- Submit proposals and tenders online
- Download procurement documents
- Ask questions during the designated Q&A period
- Track the status of your bids
Prepare your submission
When you find a bid that fits your business, read the documents carefully. Do not make assumptions. If something is unclear, ask questions during the designated Q&A period. Follow these steps to prepare a strong bid:
- Follow the requested format exactly. If evaluators have to search for your information, they may miss it.
- Answer every question. Include all requested pricing and technical details.
- Check your math. If there is a discrepancy between the total price and the unit price, the unit price will be used.
- Understand the terms and conditions. If you have concerns about the contract terms, ask before you submit.
- Check for mandatory requirements. These are strict pass/fail rules. If your bid does not meet them, it will not be evaluated further.
For larger construction projects, the City may hold a pre-bid meeting. This gives you a chance to visit the site and ask questions before the deadline.
Submit your bid
Your bid must be submitted through the portal before the deadline stated in the documents. We do not accept late bids, and we do not accept bids by regular mail or email. You can update or withdraw your submission at any time before the closing date.
Awards and debriefs
We evaluate all bids based on the criteria in the solicitation documents. Successful bidders will receive an email notification. Unsuccessful bidders will also be notified. We are committed to a fair and open procurement process that supports local and diverse businesses, including Indigenous-owned enterprises. We encourage all qualified suppliers to apply.
If you would like feedback on your bid, you can request a debrief. Click the link in the award notification email and complete the short survey. We will schedule a time to review your submission as soon as possible. Please note, we cannot provide debriefs before a contract is awarded.
Invoicing and payment
If your company is awarded a contract, you will receive a purchase order. Standard payment terms are net 30 days from the date of your invoice.
When you send your invoice, please include:
- Your company name and remittance address
- The invoice number and amount
- The purchase order number
- Your GST registration number (if applicable)
Send invoices to [email protected]. We do not pay from summary statements; please send individual invoices for each project or delivery. If you want to be paid by electronic funds transfer (EFT), contact the Purchasing Manager to complete a Supplier Information Form.
